  • Provide administrative support to Management and Departments.
  • Manage and track weekly schedules, travel, vacation, WFH/In Office.
  • Arrange and set up conference rooms for internal band client meetings, via Teams and Zoom.
  • Assist with Travel arrangements using the Concur Travel System.
  • Assist with travel visas, business letters and passports.
  • Arrange in-office meals and off-site client/vendor lunches and dinners.
  • Reconcile monthly American Express expenses.
  • Assist with weekly timesheet reminders, submittals and approvals.
  • Create Dash requests for new/returned equipment, cell phones, IT accessories, software, executive level approval rights, access to Project Management folders.
  • Request approval and create new subcontracts, change orders, service entries, and invoices.
  • Prepare and mail invoice packages to send to clients for payments.
  • Assist with the new hire orientation process, by creating a DASH ticket to request IT equipment, SAP access, Group folders, software, company phone, monitors, laptops, and any IT accessories.
  • Assist with employee badge and building access, parking/bus passes, office seating, company logins, SAP timesheet training, Amex and cell phone requests, access to Concur travel and expense report system, and making sure they are added to the company distribution lists.
  • Help with creating mail shipment requests for FEDEX, DHL, or USPS.
  • Assist with submitting facilities requests, such as moves, reprographics, maintenance, or repairs.
  • Assist with payments using the financial invoice system or Corporate Purchasing Card.
  • Make purchases for employee gifts and employee or client giveaways.
  • Assist with last minute requests and walk ups.
  • Assist with after-hours requests from overseas.
  • Assist with AT&T billing and credit card payments.
  • Back-up and assist other administrative team members when needed.


  • Problem solving and recognition skills
  • Effective oral and written communication skills
  • 8+ years of experience
  • Positive and "can do" attitude is a must
  • High level knowledge of Microsoft Office applications
  • Prior use of SAP is helpful
