ESSENTIAL FUNCTIONS


  • Reception desk coverage, including greeting and credentialing VIP’s, guests and handling guest questions and concerns.
  • Monitor Lobby area for cleanliness and Coffee Bar to ensure accessibility of refreshments and supplies.
  • Ensure building policies and procedures are consistently enforced, notify appropriate management of any deviations, if they occur.
  • Operate the main company switchboard and update switchboard phone systems/messages as needed.
  • Confirm and execute internal meetings requests and special events setups for internal clients.
  • Schedule and assist with coordination of executive meetings, coordinate menu/catering, proper setup and assist in house caterer with executive set-ups for coffee and water.
  • Plan special in house events, developing ideas, purchasing items for events, and assisting with signage and décor.
  • Purchasing responsibilities related to departmental and event needs such as vendor set up, supply ordering, payment and expense reporting.
  • Maintain and update master hospitality calendar daily.
  • Assist with and confirm onsite catering requests.
  • Reporting of departmental KPIs (Key Performance Indicators).
  • Small meeting contracts to include initiation, review and implementation for independent projects or in collaboration with hospitality event coordinators or working with Procurement.
  • Internal website content management.
  • Other duties as assigned.

QUALIFICATIONS


  • Associate’s degree plus 1-3 years of experience in a similar role, or equivalent combination of education and experience
  • Bachelor’s degree preferred
  • Strong knowledge of Microsoft Office suite required, particularly Outlook, Word, Publisher and Excel
  • Ability to multi-task and adapt to needs of both clients and associates in a professional manner
  • Exceptional organizational skills with strong ability to multi task
  • Ability to show discretion in handling confidential information
  • Ability to work with varying levels of management; excellent relationship management skills
  • Ability to set priorities and meet deadlines
  • Strong technical aptitude – ability to utilize and leverage technology and systems
  • Good judgement, problem solving skills and initiative
