The City of Chesapeake Central Fleet Department is seeking a self-motivated and energetic individual for the position of Fleet Accounts Specialist. This position is responsible for supporting efficient and accurate accounting and financial functions within the department. Analytical skills will be key as you create, update, and maintain spreadsheets, databases, and create reports. Outstanding communication skills are essential, as this position works closely with internal and external stakeholders.

Job duties include, but are not limited to:
  • Analyzes and researches account in assigned area.
  • Create requisitions for sublet repairs, small shop equipment, projects, and asset purchases.
  • Submits all purchase order increases or changes.
  • Enters journal vouchers to bill city departments for fuel, commercial charges, repairs, and labor.
  • Process incoming checks for deposit.
  • Collects, gathers, and prepares load forms for new assets.
  • Creates, reviews, and maintains asset documentation.
  • Ensures all asset information is entered correctly and fully in AssetWorks.
  • Maintains asset files, renumbering and scanning information in files for electronic keeping.
  • Maintains and enters sale information of disposed assets in fleet software.
  • Creates journal vouchers to move funds from asset sales to fleet accounts.
  • Add/update new vendors & employees in Fleet software.
  • Prepares accounting, fiscal, and budget reports.
  • Assists with monitoring fuel sites and operators experiencing procedural issues, software issues, and hardware issues.
  • Assists with the City’s Motor Pool System, to include adding and deleting operators, and assisting operators with issues.
  • Maintains the City’s Department of Motor Vehicle information by registering new vehicles, updating registration information throughout the year, and reporting sale of equipment.
  • Assists staff and the general public with inquiries and/or concerns.
  • Performs related tasks as necessary such as providing supervision for subordinate staff in the absence of Fleet Business Specialist
